🔍 How Volume-Based Alerts Work

Volume-based alerts don’t trigger in real time. They evaluate comment volume over time and send notifications in batches, not per engagement.


Here’s how it works:

  • The system periodically checks for the number of matched comments within the selected time window in the workflow.

  • If the threshold is exceeded, all matched comments are grouped into one alert.

  • They are sent at the specified time selected in the workflow.

  • The system then waits for the next full window before checking again.

Example:
Threshold: “More than 1 negative comment in 24 hours”

  • If 20 negative comments come in during that period, you’ll receive one alert with all 20.

  • No new alerts will be sent until the next 24-hour cycle.


🛠️ How to Customize Thresholds

Choose thresholds based on your average daily/weekly volume. Set them above your normal range to avoid noise while still catching spikes.

⚠️ Control Workflow Visibility with Permissions

Configure Advanced user permissions inside each workflow to control who can access it in the Control Panel:

  • Visible to: Set the specific users or groups who should be able to view the workflow in the list.

  • Editable by: Set the specific users or groups who should be able to edit the workflow.

📌 Note: Apply these settings whenever you create or edit a workflow to keep visibility scoped to the right owners.

🚨 Important: Restricting a user’s asset access (Default Assets) for assets included in a workflow prevents them from receiving alerts for those assets, but it does not automatically hide the workflow from their Control Panel. You must use the Advanced user permissions in the workflow to restrict visibility.
