How to Remove a User Account

Use this when someone on your team created a BrandBastion user with the wrong email (personal vs. work), or when you need to clean up access and notifications.

  • Disable a user account tied to the wrong email (e.g., personal vs. work)

  • Ensure your team has clean, secure access tied to the correct emails

  • Request permanent removal of the incorrect email from BrandBastion

  • Understand who receives asset expiration emails and how to adjust the distro list


How asset expiration email recipients are determined

Expiration notifications are sent to:

  • All active (non-disabled) users for your organization who have access to the asset that’s expiring.

Access is controlled in user configuration where Admins can set which assets each user can access.

  • If a user is allowed access to specific assets, they’ll only receive expiration notifications for those assets.

  • If a user’s asset access is left in the default empty state, it means they have access to all assets.


Step 1: Confirm the Correct Email Is Active

Before removing the incorrect user:

  • Make sure your work email is already added to the account

  • You can do this by asking an Admin to invite your work email if it’s not already active

💡 If both emails are active users, only one needs to be removed. We recommend keeping the work email active for long-term access.


Step 2: Ask an Admin to Disable the Incorrect Email

Only users with Admin access can disable other users.

Here’s how an Admin can disable a user:

  1. Go to the Users section in your BrandBastion account

  2. Find the personal email you want to remove

  3. Click the three dots (⋯) next to the user > select Edit

  4. In the Edit User view, toggle off the Active switch

  5. Click Confirm

Once disabled, the user will no longer be able to log in.

🚨 If neither email has Admin rights, ask an existing Admin on your team to grant temporary Admin access to your work email so you can complete this step.


Step 3: Request Full Removal

After the incorrect email has been disabled:

  • Reach out to your BrandBastion contact

  • Include the email address you’d like fully removed

We’ll take care of the permanent deletion on our end.

Removing incorrect or duplicate accounts:

  • Prevents login confusion

  • Keeps notifications and access controls clean

  • Ensures the right people have the right permissions
