How to Generate Pre-Drafted Replies for Your Queue

Pre-drafted replies are AI-generated responses created in advance and stored in your Ready for Send section. They allow you to approve, reject, or archive replies in bulk without waiting for AI to generate them in real time.

Pre-drafted replies are AI-generated responses created in advance and stored in your Ready for Send section. They’re triggered by workflows so your team can approve, reject, or archive them in bulk — without waiting for AI to draft in real time.


Why This Matters

Pre-drafting shifts the heavy lifting forward. Instead of generating replies one by one, workflows continuously prepare them in the background. When you open your To Review tabs, the replies are already there, ready for fast approval.


How to Generate Pre-Drafted Replies

  1. Go to Control Panel > Workflows.

  2. Click New Workflow.

  3. Select Reply as the workflow type.

  4. Choose AI Reply.

  5. Configure your workflow:

    • Platforms and assets: Pick which social profiles this workflow applies to.

    • Message type: Choose comments, mentions, or DMs.

    • Triggers and filters: Add keywords, tags, or sentiment filters to decide which messages should receive a pre-draft.

    • AI prompt: Select the prompt that will guide how the reply is written.

  6. Under Action, select Pending approval.

    • This ensures AI drafts replies, but a human must approve before they’re sent.

  7. Click Create and enable workflow.

Once active, replies that match your workflow rules are drafted automatically and placed in the Ready for Send section.


Managing Pre-Drafted Replies

  • Go to To Review > Ready for Send.

  • Select up to 25 messages at a time.

  • Use Batch Approve, Reject, or Archive.


Create Multiple Workflows

You can build different workflows for different situations:

  • By sentiment: One for positive mentions, another for complaints.

  • By tags: FAQs vs purchase intent.

  • By region: US vs UK assets.

  • By campaign: Seasonal promotions vs evergreen content.

Each workflow can use a different AI prompt and filters, so your drafts are tailored to the type of message.


Example in Action

  • You create a workflow for comments tagged FAQ: Shipping.

  • The workflow uses your “FAQ Prompt” with knowledge grounding enabled.

  • AI pre-drafts answers like: “Standard delivery takes 3–5 business days. You’ll get tracking info by email once your order ships.”

  • All drafts appear in Ready for Send.

  • Your team batch-approves 25 replies at a time, clearing the queue in minutes.


💡 Tip: Start simple. Set up one or two workflows for your most common scenarios, then expand to cover more categories as you refine your prompts and knowledge.
